Webex: Deskphone and Application


Description:

Webex is a calling platform to manage both physical desk phones and softphones used on computers or mobile devices. If a physical phone is managed through Webex the phone will have a cloud icon Cloud outline in the upper right-hand corner of the phone screen. If a person has a physical device managed through Webex then they are already set up to use the softphone option through their computer or mobile device.

Webex installer:

Yale Managed Computer: Company Portal (Start>Search for and Select "Company Portal"> Search for and Select "Webex Calling")

Webex Login (Desktop/Mobile app):

After the Yale Email is put in the client will be sent to the CAS login.

Answer a call

When you get a call, you get a notification that you can use to accept or decline it. If the person calling you has a Webex account, you can also message the person back if you're not able to take the call right away.

 

Voicemail reset (User Hub)

  1. Sign in to User Hub
  2. Go to Settings > Calling > Voicemail
  3. Go to the Voicemail PIN section and then click Reset voicemail PIN
  4. Enter your New Voicemail PIN within the following requirements

-Must be at least six digits long and a maximum of 8 digits. Numbers only

-Must not be any of your previous ten PINs (twenty-four, in case of government customers)

-This number is a system setting

-Must not be the reverse order of your old PIN

-Must not match the numeric representation of your first or last name

-Must not contain your phone number or extension number

-Must not contain single or groups of repeated digits (for example, 228883, 121212, or 408408)

-Must not be a numerical sequence (for example, 012345 or 987654)

-Must not contain numbers that are dialed in a straight line on the keypad

  1. Re-enter your PIN in Confirm Voicemail PIN and click Submit.

 

Voicemail Request Form (This request is for people who need voicemail to email set, a pin reset, or need to have a voicemail removed)

 

Forwarding calls - Webex app

Click Settings  on the navigation sidebar, and then click Calling.

Go to Call Forward and then add a number to forward calls to or choose to forward your calls to voicemail.

After you've turned on call forwarding, Phone and forwarding settings in the footer for your app turns green and stays that way until you change the setting back to Do Not Forward Calls. You can manage your call forwarding from there.

 

Forwarding calls - Physical Phone

   Select the "Forward All" button on the display

   Dial the target number that you would like new calls to forward to. When dialing the full 10 digits you must first dial 91. (Example: 91203-432-9000) 

 

Set Ringtone - Webex app

Click Settings  on the navigation sidebar

Navigate to Notifications and select the Calls tab.

 

Set Ringtone - Physical Phone (no ringtone for incoming calls to flash)

Click Settings  on the navigation sidebar, and then click User Preferences.

Navigate to Ringtone and select the extension you would like to edit. If you do not want the phone to ring when an extension is call select No Ringtone.

 

Transfer Calls - Webex App

While you're on a phone call, select transfer

Enter the name or number of the person you want to transfer the call to and then choose one of the following options:

  -Consult the receiver before you transfer the call

 - Transfer Now

 

Transfer Calls - Physical Phone

 While you're on a phone call, select the transfer soft key displayed on the phone screen

Enter the number of the person you want to transfer the call to and select the transfer soft key displayed on the phone screen to complete the transfer

 

 

Placing calls on Hold

While on a phone call, select Hold . After you put the call on hold, your spaces list shows that it's on hold .

To go back to your held call, select it from the spaces list and then select Resume .
