There are two ways you may share files or folders on Box at Yale and Secure Box:
- Share a link
- The 'Get Shared Link' option allows you to quickly copy and share hyperlinks to content stored in your Box account, allowing individuals to view and download the content. Links provide read-only access to the file or folder and the individual can preview or download the shared content. Recipients can also forward or share links. Individuals with whom a link is shared do not need a Box account to download or preview a link.
- Add collaborators
- Adding or inviting collaborators allows you to give a person the ability to edit and comment on the content as well as share ownership - if desired. If you send a collaboration invitation to a person without a Box account, that person will be prompted to sign up with Box before being able to access the content. Collaborators outside of Yale are not eligible for Box at Yale accounts but can use a free personal Box account available at https://www.box.com/. The file or folder owner assigns and manages collaboration permissions.
Sharing a Link to a File or Folder
- Click the Share button on the right-hand side of any file or folder you want to share.
- Click Get Shared Link to generate a shared link.
- Select one of the sharing options:
- People in your company: This is the default option. Users in the same Box enterprise as yourself and users who have a Box account with the same email domain as your Box enterprise will be able to access content. You can set an expiration date and restrict download and/or preview access for link viewers.
- When accessing the link, users will need to log in to Box to verify their identity.
- Collaborators in the folder can also access content if People in your company is selected
- People with the link: Anyone with the link can access the item and no Box account is required. For extra security, you can also set a password or expiration for the link, as well as restrict download and/or preview access for link viewers.
- People in this folder/file: Only invited Collaborators to an item (folder or file) will be able to access the content.
- Note: Collaborators already have access to their content, but can easily direct one another to a specific file or folder using the shared link.
- Remove Link: This option removes and deletes the shared link assigned to that file or folder. The removed link will no longer be accessible, even if someone has the old link.
- Enter the email addresses of the people you wish to share with, optionally you can also enter a short message for them to see with the email they receive.
- Click Send.
Invite a Collaborator
- Click the Share button on the right-hand side of any file or folder you want to share.
- Click Invite Collaborators.
- Enter the names or email addresses of the people you want to invite in the Invite field.
- Select a permission level from the Invitee Permissions drop-down (See the Invitee Permissions table below for a matrix of what the different permissions allow a Collaborator to do).
- You may enter an optional message for then click Send Invites.
