You can use Globus to move your data from Box to your University OneDrive account. It is recommended that you use Globus for ease of use and efficient transfer of your data. Perform the following key tasks to successfully move your data to your Microsoft 365 account:
Getting ready for your Box data move
Delete data in your Box @ Yale account that you no longer need and remove yourself from collaboration on any files shared with you that you do not want copied to OneDrive (refer to Best Practices for data storage in collaborative file services for more information). Globus will move anything that remains in your account, whether it is owned by you or not, and you will be the owner of that data if moved to OneDrive.
Important Notes
- For Box data shared with you, if the owner has enabled download notifications, they will be emailed if you migrate data they own using Globus.
- The sharing permissions applied to files and folders in Box do not transfer to your OneDrive account.
- Once the migration is complete, in accordance with our file storage use cases, you should move the data to an appropriate storage space, such as Microsoft Teams or a SharePoint site appropriate to the group that uses the data. This ensures that data critical to a groups work is not deleted if you leave the University and your OneDrive account goes away. Data that is pertinent only to you, or that necessitates infrequent collaboration can remain in your OneDrive account.
While Globus can easily move data from Box to SharePoint or Teams, the scope of these instructions will only cover steps to move to OneDrive.
Understand what will happen with proprietary data types
Box Notes will not be automatically migrated and converted to a readable format. You will need to create a new document in OneDrive and copy/paste the content of your Box Note into it to retain that data.
Move data using Globus
- Login to Globus
- Select Yale University from the Use your existing organizational login dropdown
- Select the Continue button
- Sign in with your Yale identity
- Select File Manager from the navigation bar and ensure the Panels section is set to show two panes.
- Select the left panel (Source) Collection Search field to search for a collection.
- Search for Yale Box and select it by selecting the name Yale Box from the search results.
- You should now see the Collection in File Manager. If this is your first time connecting you will see a prompt, “Your credential requires some initial setup”. Select the Continue button, then follow the prompts to allow and authorize Globus connecting to your Box account. This will involve a prompt to log into your Box account at the end to complete the authorization. Select File Manager from the navigation pane, and your Box account (Source) will load on the left side of the screen.
- To select the Destination collection, repeat steps 3 through 5 on the right-side Collection pane using Yale OneDrive as the search term and selection.
- The Source and Destination collections have been set. On the Source pane, you will choose the files you want to transfer to OneDrive. You may select specific files and folders to transfer, or you may use the select all link to migrate everything.
- On the Destination pane, you may choose an existing folder or create a new folder to move the Box data into or leave nothing checked to transfer directly to the root of the Collection.
- Select the Transfer & Timer Options dropdown to set your migration settings:
- Enable (check) the options:
- sync - only transfer new or changed files and select file does not exist on destination from the dropdown menu
- preserve source file modification times
- do NOT verify the integrity after transfer
- Skip files on source with errors
- Fail on quota errors
- Leave all other options (checkboxes) blank/disabled.
- When ready, select the Start button on the Source side to start the transfer.
- In the following example, you can see we are moving everything from Box to the Box Stuff folder on OneDrive.
- Once started, the move runs completely in the cloud. There is no need to leave your computer running for the migration to complete. Once all files have been moved, you will receive an email from no-reply@globus.org indicating the transfer is complete.
You may also check the status of your move at any time by signing back into Globus and navigating to the Activity pane on the navigation bar.
Once completed the status overview will display transfer completed. You can see full details by selecting the Yale Box to Yale OneDrive link.
If there are files that had to be skipped (i.e. illegal characters, path too long, etc.) you can review these in the Event Log tab. If you need further assistance troubleshooting files that will not sync, please submit a ticket to Yale ITS and include the list of errors. You can download the full list of errors by selecting the "Download Error Logs" circled in the screenshot below.
