Effective August 6, 2024, ITS will enhance your Zoom experience by introducing the Zoom AI Companion. This tool will offer valuable meeting summaries, enabling you to focus on the discussion and action items.
In line with the recommendations from Yale's Data Governance team and the Privacy Office, the Zoom AI Companion will be the sole AI tool supported for use with our Zoom Audio and Video Conferencing Service.
To ensure the security and privacy of our university's data, we will disable third-party AI solutions (bots) in Zoom. These bots retain a copy of any data they are exposed to and use this data to further develop their AI tool, generating responses for other users, including those outside of Yale. This behavior can potentially make confidential Yale information publicly available, which is why we are not permitting bot use.
Meeting Summaries do not start automatically for your meetings. The meeting host or co-hosts can start or stop the meeting summary through the in-meeting controls. The summarization of the meeting only begins when the host or co-host clicks Start Summary button.
Note: Hosts can adjust their settings to have the Meeting Summary start as soon as the meeting starts. This does not require the host to be present, as the Meeting Summary generation will begin as soon as someone starts your meeting. The participants will see a notification when the meeting summary has started. The notification type will depend on the participants’ client version.
Once a meeting summary is available, a copy of it is provided to the meeting host (and potentially meeting participants based on the meeting settings) through email. Summaries for meetings that have continuous meeting chat disabled are only shared through email.
