Joining a Team as a Guest in Microsoft 365


When an individual external to Yale receives an invitation from a team owner to be a guest of their team, the experience of accepting the invitation will be slightly different based on whether the invitee’s email address is connected to a Microsoft account.

  1. Team owner must first invite the individual to their team
  2. Check their email for a message from Microsoft Teams, Subject: You have been added as a guest to Yale University in Microsoft Teams
  3. Select the link Open Microsoft Teams
  4. It will open a Yale University Sign in page, they can sign in with the email address and password of their account
    • If this is the first invitation they have received from a Yale University team they will be prompted with a screen to grant permission to receive certain data from them, just select the Accept button to proceed
  5. There will be a popup that says, “The site is trying to open Microsoft Teams”. If they have the Microsoft Teams app installed, they can click Open on this popup to open the team in their app, otherwise select Cancel, and:
    • They can select the Use the Web App instead button on the web page to open the team in the Microsoft Teams web interface.
    • They can opt to select the Download the App button to download and install the application. After it is installed, they can go back to the web page and select the Launch it Now link to open the team in the newly installed application.
  6. To access the team again in the future they can use the link they received via email to open the Team again, either by saving the email or by copying the link in the invitation email and saving it as a bookmark in their web browser or as a shortcut.

  5. Retrieve the code from the email sent to the individual’s mailbox, Subject: Your Yale University account verification code
  6. Paste the code into the Sign in page in the Enter code field, then select Sign-in
    • If this is the first invitation they have received from a Yale University team they will be prompted with a screen to grant permission to receive certain data from them, just select the Accept button to proceed
  7. There will be a popup that says, “The site is trying to open Microsoft Teams”. If they have the Microsoft Teams app installed, they can click Open on this popup to open the team in their app, otherwise select Cancel, and:
