File Storage Use Cases and Tips in Microsoft 365


The first step in successfully storing content in Microsoft 365 is understanding what content to store in what service. OneDrive, SharePoint, and Teams all provide access to your content anywhere, but we recommend using the following guidelines when deciding where specific content should live.

OneDrive

Private files. When you store a file in OneDrive, it is only accessible by you unless you share it with others. You can edit your documents or share them with specific people. You can also sync them to your computer or device. For more info, see What is OneDrive for Business?

Business files that other team members will not need to collaborate on or access regularly. For example, you might store a draft proposal, private meeting notes, or the script for a demo you are presenting. Files stored here get deleted when you leave the University.

Microsoft Teams/ SharePoint Team Site

Collaboration. You can collaboratively edit documents separately or in real-time within your workgroup/team. You can also sync them to your computer or device.

 

All Microsoft Teams automatically get a SharePoint Team site where its files are stored. You can also create a stand-alone SharePoint team site if you do not need Microsoft Teams additional collaboration features.

Files that have shared ownership. We recommend separate team sites for each unit of work in your organization. For example, to keep personnel and financial documents private to a small team, create a separate team site.

Files stored here do not get deleted when a team member leaves the group as the site retains the files.

SharePoint is a simple solution when you just need a document library to store and collaborate on files.

Microsoft Teams is best used when you also need a way for your work group to communicate easily and centralize work processes in a single interface. It uses SharePoint in the background for it's file storage, though you do not have to interact directly with SharePoint using Teams.

You can designate the site as private so that only people you grant permission to can access it.

 

You can also set up guest sharing with people outside the University (i.e. consultants, vendors, third, party, etc.)
