Requesting Sign-Off on a document in OneDrive, SharePoint, or Microsoft Teams


With Microsoft 365 services it is now easy to request sign-off from individuals on documents stored in OneDrive, Teams, or SharePoint.

OneDrive or SharePoint

For files stored in OneDrive or SharePoint: 

  1. Sign into the Office 365 portal then select OneDrive or SharePoint from the App launcher. 
  2. Navigate to the file you want to request sign-off for. 
  3. Make sure you have granted access to the person you are requesting to review and sign-off on the file. 
  4. Right click the file you want to request sign-off on. 
  5. From the popup menu navigate to Automate and select Request Sign-off.
    • If this is the first time using this functionality a screen will appear telling titled Create a flow that indicates SharePoint, Notifications, Approvals and/or OneDrive are used in the flow. Select the Create Flow button to proceed. 
  6. Choose approver(s) by entering either their email address or name (format Last, First). 
  7. Enter a message for the approver(s). 
  8. Select the Run flow button. 
  9. The selected approvers will receive an email with your message, a link to the file so they can review it and buttons to approve or reject the file. If they reject the file, they can enter comments to explain why. 
  10. You will receive an email when the file is approved or rejected with any provided explanation. The approval state can also be seen by looking at the Sign-off Status column next to the file.  

Microsoft Teams

For files stored in Teams you must first navigate to the file location within Microsoft Teams then select Open in SharePoint from the top navigation bar. You can then follow the steps above to request sign-off. Start with step 4 if the person you are requesting sign-off from is a member of the Team channel the file is stored in, otherwise start with step 3.
