Important Points: 

• Faculty should refer to the Poorvu Center Academic Continuity website for additional guidance on using Zoom. 
• Regularly update Zoom, to make sure you always have the latest security updates. Reinstall the newest version of Zoom if updating is not effective.
• Yale discourages the practice of posting meeting URLs or invitations in public forums and on social media platforms. Reduce the risk of unwanted guests joining your meeting by keeping your meeting information private. 

Preventative actions you can take to keep your Zoom sessions secure: 

• Regularly update Zoom to ensure use of the most secure version of the application. Reinstall the newest version of Zoom, if updating is ineffective.
• Avoid publicly posting meeting URLs or invitations, as this dramatically increases the likelihood of unwanted guests joining your meeting.
• Generate a passcode for your scheduled meetings.
• Set up registration for your meeting. This allows participants to register with their e-mail, name, and other questions. It also allows you to control who can attend.
• Allow only signed-in participants to join. This will prevent anonymous access to your meeting.
• Allow only Yale users to join your meeting. If your audience is only Yale users this is an easy way to make your meeting more secure.
• Try using the Waiting Room. The Waiting Room is a virtual staging area that stops your guests from joining until you are ready for them.
• If the chat feature is not needed for the meeting, disable it.
• Lock the meeting. After locking a meeting, no new participants can join, even if they have the meeting ID and password.
• Disable participant recording. Sign in to the Zoom web portal and select Settings. On the Recording tab, navigate to the Local Recording option, and uncheck Hosts. This can give participants permission to record locally.
• Keep uninvited guests out of your Zoom event/meeting 

Actions taken automatically to secure Zoom sessions: 

• Screen sharing is only enabled for the Host; log in to Zoom is required to host a meeting. 
• Only the host can use the annotation tools to add information to shared screens. 
• The host will hear a sound when participants join or leave. 
• Guest participants in the meeting will be identified as Guests. 
• Attention tracking is turned off. 
• Feedback to zoom after the meeting has been turned off. 
• Hosts will not be notified when participants join the meeting before them. 
• File Transfer is turned off.
