Mapping a Shared Drive on Windows and MacOS


Overview

Once access to a department's shared drive is provided to an employee, individuals must map the drive to their Yale-managed device to access the folders/files needed. 

Note: For Med1 shared drives, you must be on a Yale-managed computer to access

When to Use

Mapping Instructions

Windows 11

 You may need to log out and log in again for the permissions to take effect if you were just granted access.

  1. Open Windows File Explorer
  2. In the Folder column on the left, right-click the ”This PC” item, select "Show more options", and then select "Map network drive..."
  3. Choose an available drive letter from the drop-down list
  4. In the ‘Folder’ field, type in one of:
    • For S@Y Shares: Enter: \\storage.yale.edu\home\[enter path name]
    • For Med1 Shares: Enter: \\med1.med.yale.edu\home\[enter path name]
    • If it's a different server, be sure to use it's full name
  5. Select Reconnect at logon if you prefer to have this drive persistently mapped every time you log in to your computer
  6. For a non-yale.edu Domain computer, check "Connect Using Different Credentials" and use "yale\[NetID]". Replace [NetID] with your Yale NetID

MacOS

  1. In Finder, select Go
  2. Select Connect to Server
  3. In the Server Address field, enter one of:
    • For S@Y Shares: Enter:  smb://storage.yale.edu/home/[enter path name]
    • For Med1 Shares: Enter:  smb://med1.med.yale.edu/home/[enter path name]
  4. In the Server Address field, you may need to enter smb://wcsfs00.its.yale.internal/[enter shared name]$/home/[share folder name]
    • Note: Replace the [enter shared name] with the specific share name, retaining the "$" symbol
    • Example: smb://wcsfs00.its.yale.internal/730n$/home/nicu
  5. Select Connect

Common Issues

I am unable to map to the shared drive while working remotely.If working remotely, you will need to connect to the Yale VPN on your Yale-managed computer prior to completing the steps above.
Error: The specified network resource or device is no longer available.Please verify that the correct shared drive name is being entered. If unsure, please confirm with a coworker or manager. If still unable to confirm, please contact the ITS Help Desk.
My shared drive connection shows a red X over the drive name.Verify that you are connected to the Yale VPN if off campus. If on campus, verify you are connected to YaleSecure or via an Ethernet connection.
